Job Title: Receptionist (12-14 month contract)/ 8:00 a.m. - 5:00 p.m. (flexibility re hours is required) Monday to Friday
Job Summary: Receives clients on premises, determines purpose of visit and announces or directs call to proper office, location or person. Operates switchboard handling all incoming calls. May also provide assistance to co-ordinate scheduling of conference and meeting rooms.
Primary Activities and Representative Tasks:
- Greets visitors and ascertains nature of the visit.
- Informs requested contact of the caller's arrival and/or directs visitor to proper location.
- Provides appropriate responses to callers' inquiries.
- Advises Boardroom Services and Technical Support when meetings have finished and rooms can be reset.
- Accepts mail and packages and informs recipients of the arrival.
- Directs overnight voicemail messages.
- Ensures the reception area is neat.
- Takes messages as required.
- Performs incidental clerical work as time permits, such as typing, sorting or collating.
- May keep visitors log and/or issue visitors passes.
- Responsible for co-ordinating reservations of limousines and car rental requests.
- Distributes cab chits as they are required.
- Performs complete telephone information service. May place collect and overseas calls and arrange conference calls.
- Recycles used supplies. Updates internal floor plans directories.
- Receives and relays trouble reports for correction, such as washroom problems, spills, etc. to facilities.
- Any other assistance that may be required by the firm.
Qualifications:
- Excellent communication and customer service skills.
- The ability to multi-task while maintaining professional composure at all times.
- Knowledge of telephone and in-house communications systems.
- Keyboarding skills.
- Knowledge of the firm, its functions and personnel.
