Working collaboratively with a Senior Legal Administrative Assistant, you’ll anticipate the needs of this busy Executive and take full ownership of all administrative tasks, with a project management mindset. Primary Activities & Representative Tasks:

  • Manages the Executive’s calendar and communicates with internal and external clients to schedule appointments and coordinate arrangements for meetings/conferences - books boardrooms, equipment, printing handouts as needed
  • Provides a range of support including researching requests, generating reports, assisting with mailing lists and data/word processing
  • Drafts and revises emails, memos, letters and presentations, ensuring proper formatting, grammar, and spelling
  • Maintains an effective file management system (paper and electronic) to maximize efficiency and organization
  • Coordinates extensive travel arrangements, including booking airfare, hotels and all business conference travel
  • Manages expenses and prepares expense vouchers, disbursements and submissions
  • Coordinates various projects as determined on a cyclical or as-needed basis

Knowledge and Experience:

  • 2+ years of experience working as an Administrative Assistant (ideally supporting an Executive)
  • Calendar management experience is required
  • Advanced knowledge of Microsoft Office ( Outlook, Word, Excel and PowerPoint)

Skills and Abilities:

  • Excellent verbal and written communication skills, with the ability to use discretion when dealing with confidential information
  • Strong organization and time management skills – able to organize work, multi-task, create detailed plans, monitor progress, follow-up and meet deadlines
  • Demonstrated ability to work as a team player, i.e. interact and negotiate with internal stakeholders in a professional and courteous manner
  • Ability to recognize opportunities and/or challenges and proactively exercise judgement; ability to act on own initiative
  • Keen attention to detail and commitment to producing quality work
  • Professional, responsive, friendly and able to build productive relationships within the Firm
